Lettings Service – (Introduction or Tenant Find Only)

This is an introduction of the tenant only service

  • Inspect the property
  • Prepare particulars of the property and rental value
  • Advertise and market the property
  • Arrange and supervise appointments for viewings if required
  • Introduce prospective tenants for the landlord’s approval
  • Draw up and execute student guarantor deeds
  • Take up checks on student guarantors
  • Draw up and execute the tenancy agreement
  • Give the tenant instruction on how to pay future rent to the landlord
  • Inform the landlord of his Statutory obligations
  • Collect a security deposit

Rent Collection Service

  • Send statements on a termly basis showing all rent collected, less Gillams Properties fee / commission and any other expenses
  • Deal with rent arrears or unpaid rent within a reasonable time frame

Full Property Management Service

The full management service includes the letting service and rent collection plus the duty to take care of any repairs or maintenance that are required at the property during the term of the tenancy and to generally take the burden of responsibility from the landlord for the management of their student property.

  • Charge a commission / fee, deductible from the rent collected on a termly basis.
  • Register and protect the security deposit in accordance with the housing Act 2004 (Section 184 Localism Act 2011).
  • Amounts required to carry out repairs or maintenance works require the landlords sanction before it can go ahead. This is then repaid from the rent collected or from a “holding fund” deposited by the landlord at the start of the tenancy for such a purpose.
  • 24 hour emergency maintenance call out for your tenant.
  • Deal with the renewal of and relevant safety certificates.
  • Liaise with the tenant on all matters relating to the property.
  • Ensure that all contractors instructed carry out works have been vetted.
  • In the event of an emergency Gillams Properties should reserve the right to authorise repairs up to a specified amount as agreed in the Terms of Business.
  • Gillams Properties will endeavour to resolve any dilapidation disputes between the landlord and the tenant at the end of the tenancy.
  • Advise landlords on all legal matters in accordance with all relevant legislation affecting the property.
  • Issue legal notices on behalf of the landlord. Please note, any court proceedings will be dealt with by a solicitor or the landlord’s legal representative.
  • To deal with and attempt to remedy any breach of contract.
  • To negotiate rent reviews and extension / renewals.
  • To deduct tax where a landlord is residing outside the UK and not “self assessing” their own tax. (Non – Resident Landlords Only.
